This Privacy Policy explains how Sibel Technologies Inc. collects, uses, stores, and protects personal data when you use the Sibel Office Add-ins, including Sibel for Excel, Sibel for Word, and Sibel for PowerPoint.
In this Privacy Policy, “Sibel Office Add-ins” means Sibel for Excel, Sibel for Word, and Sibel for PowerPoint.
Our Office Add-ins are AI-assisted tools that process document content, uploaded files, prompts, and conversation history to provide responses and other functionality.

What data we process
When you use the Office Add-ins, we may process:
- document content you choose to process through the add-ins;
- uploaded files and their contents;
- prompts, instructions, and conversation history;
- account and authentication information;
- technical data such as error messages and service logs;
- product usage and analytics data collected through PostHog;
- crash and error monitoring data collected through Sentry;
- authentication cookies used to keep you signed in.
We store uploaded files and conversation data on our servers.
How we use data
We use personal data to:
- provide the functionality of the Office Add-ins;
- send relevant document and conversation content to AI providers in order to generate responses;
- store conversation history and uploaded files for use within the product;
- maintain security, reliability, and performance;
- debug issues and improve the application using technical information such as error messages;
- respond to support, legal, and data rights requests.
We do not review uploaded files or conversation content for product improvement purposes. When improving the application, we use other information such as error messages and operational telemetry, and we do not intentionally use conversation content or uploaded file content for that purpose.
AI providers and subprocessors
To provide AI functionality, document content, uploaded files, prompts, and conversation content may be sent to one or more of the following providers:
- Anthropic;
- AWS Bedrock;
- OpenAI;
- Google Cloud Platform.
We also use the following service providers:
- AWS for hosting and infrastructure;
- Sentry for error monitoring;
- PostHog for product analytics.
Legal bases
Where GDPR applies, we generally process personal data because it is necessary to provide the service you request, because it is necessary for our legitimate interests in operating, securing, and improving the service, or because we are required to do so by law.
Where consent is required, we will rely on consent.
Access to content
Access to uploaded files and conversation content is restricted. Only a small number of authorized personnel, currently two people at Sibel Technologies Inc., have the technical ability to access such content.
We will not access uploaded files or conversation content without your explicit consent, which may be provided for example through the feedback function in the application, unless we are legally required to do so.
Data storage and transfers
We host our systems in AWS eu-north-1 (Stockholm) and aim to process and store data in the EU.
Some of our service providers may process data on our behalf as part of delivering their services. This may involve data, including personal data, being transferred outside the EU when those providers handle it. Where required, we rely on appropriate contractual and organizational safeguards for personal data.
Retention
We currently retain uploaded files and conversation data until they are deleted upon request or otherwise removed in accordance with our internal practices.
Technical logs, analytics data, backups, and related operational records may be retained for different periods depending on system needs and legal requirements.
Your rights
If GDPR or similar privacy laws apply to you, you may have the right to request access to your personal data, correction of inaccurate data, deletion, restriction of processing, objection to processing, and data portability, subject to applicable law.
In certain circumstances, you may also have the right not to be subject to automated decision-making, and where we rely on your consent as the legal basis for processing, you may withdraw that consent at any time.
You may also request deletion of uploaded files or conversation data by contacting us at contact@sibel.se.
We will consider and act upon requests in accordance with applicable data protection laws.
If you are located in the EEA or UK and believe we are processing your personal data unlawfully, you may also lodge a complaint with your local data protection authority. If you are located in Switzerland, you may contact the Federal Data Protection and Information Commissioner.
Security
We use technical and organizational measures designed to protect personal data against unauthorized access, loss, misuse, and disclosure. No method of storage or transmission is completely secure, but we work to protect data appropriately based on its sensitivity.
Although we work to protect personal data, no electronic transmission over the internet or information storage system can be guaranteed to be 100% secure.
Children
Our Office Add-ins are not directed to children under 18, and we do not knowingly collect personal data from children under 18. If you believe a child has provided us with personal data, contact us at contact@sibel.se and we will take appropriate steps to investigate and address the issue.
Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will publish the updated version on this page and revise the date above.
If we make material changes, we may also provide additional notice where appropriate.
